Welcome email for new staff on day one.

Sending a welcome email to new staff as soon as their new email is activated ensures that they are able to at the very least find their way around the absolute basics in their first hour. I usually send the details on how to log in to their new company email to their private email, so when they've signed in for the first time, this will be the very first email they have received. This format can obviously be customised to your organisation, and you might even have two or three versions for different types of staff with the relevant details added for their positions. It's also good to keep an updated version of this on your internal document platform, like Notion.

Welcome to YourCompany! We're really pleased that you're here.
Here's a quick rundown of some key things you need to know as you settle in.
New Accounts
- Your new @yourcompany.com email address should already be set up and you should have access to it.
- We use the Google Suite for email, calendars and collaborative documents.
- You will have been invited to the YourCompany Slack workspace, which is our primary communication tool.
- Some projects will have their own dedicated Slack workspaces, and you will be invited to those as necessary.
- You should also have an invite to Clockify, which is our time tracking system.
- Please sign up for a GitHub account using your YourCompany email and let ContactPerson know what your username is. You will then be added to the relevant repos. We like to use the following for usernames: [name]-[companyshortcode]
- You will be given access to Azure DevOps, which is where our build pipelines are managed.
- Enabling 2FA on all company accounts is mandatory for all services, so please ensure that is done as well.
Meetings
- We use Google Meet for all of our internal calls. Some clients will use Zoom or Teams though, so be prepared for that.
- As much as is possible, cameras are required to be on for calls, especially with clients.
- We have a company wide standup every Monday morning at 09h00. The Meet link is posted in the #sa-chat Slack channel.
- Each project will have its own set of rituals and ceremonies, and you will be informed of what those are once you join that particular team.
- If you're invited to meetings, please ensure you respond to the invites to confirm your attendance.
Day One Expectations
- Firstly, sign in to all of your new accounts and customise as needed.
- Get your required software installed and set up.
- Read these documents on Notion:

- Managing Up
- Have a quick welcome 1:1 with your team lead and me
Other bits
- In terms of reporting:
- Chat to Contact Person about any operational items
- Contact Person regarding any contract or payroll questions
- Or your team lead for any dev-specific technical help
